Privacy Policy

1. Information We Collect

LockeOS collects only the information you voluntarily provide, plus a small set of anonymous analytics signals. We do not collect sensitive categories of personal information (race, religion, health, biometrics) and we do not knowingly collect information from children under 13.

Service Request Form

When you submit a service request through our contact form, we collect the following fields to respond to your request and schedule work:

• Name — to identify and address you in correspondence
• Phone — to call you back about your request (optional, but recommended for solar projects that require on-site scheduling)
• Email — to send estimates, confirmations, and responses
• Service Address — to plan site visits and check service area eligibility
• Service Type — the category of work you're requesting (removal & reinstall, repair, maintenance, inspection, system upgrade, other)
• Preferred Contact Method & Preferred Date — to match your scheduling preferences
• Project Description — any details you choose to share about your project, roof, or system

Self-Hosted Analytics

Every page on LockeOS sends a single, anonymized event to our own server (POST /api/analytics/track) for the purpose of understanding which pages are most useful to visitors like you. The event records:

• The page path visited (for example, /services/solar-panel-installation-palm-beach)
• The referrer — which page sent you here, if any (“direct” is recorded when you typed the URL)
• An anonymized IP hash — we store a SHA-256 hash of your IP address combined with a salt that changes every day. This rotates every 24 hours so we can count how many distinct people visit each day without storing anything that could identify you across days or be reversed into your real IP address
• The user agent string (browser type) for aggregate device/browser counts

We do not set any tracking cookies. We do not record your precise location, browsing history across other sites, or anything beyond what is listed above.

Form Submission Events

When you successfully submit a service request, we record a single event in our form_events table noting that a form was submitted. The event records only the form name (“service-request”) and a timestamp. It is used to compute an aggregate conversion rate (submissions per visitor) on our internal dashboard.

2. Cookies & Tracking

LockeOS Analytics (Self-Hosted)

LockeOS uses a self-hosted analytics beacon. The beacon records only the items listed above under “Self-Hosted Analytics”. It is not a cookie and does not set any browser cookie on your device.

Polsia Analytics

LockeOS also loads a pixel from our hosting provider (Polsia) for aggregate visitor counts across the platform. That pixel uses your browser's localStorage to persist a randomly generated visitor identifier under the key polsia_vid. The identifier is a UUID v4, generated entirely client-side, and contains no personal information. You can clear it (along with any other site data) at any time through your browser settings.

Other Cookies

LockeOS does not use third-party cookies for advertising, social-media tracking, remarketing, or cross-site behavior tracking. If we ever add a feature that uses cookies, we will describe it here first.

3. Advertising & Third-Party Platforms

Locke Energy Solutions may run paid advertising on platforms such as Google (Search, YouTube, Display Network) and Meta (Facebook, Instagram) in the future to reach Palm Beach County homeowners searching for solar and HVAC services. Those platforms use their own cookies and tracking technologies to serve ads and measure their performance.

When you interact with those ads, the relevant platform (not LockeOS) is the data controller for the information it collects under its own privacy policy. We receive only aggregate performance reports (impressions, clicks, conversions) — we do not see or store individual-level advertising identifiers.

Your Ad-Platform Choices

• Browser privacy settings — most modern browsers let you block third-party cookies, send “Do Not Track” signals, or reset identifiers between sessions.
• Google Ads controls — visit adssettings.google.com to manage or personalize Google ad signals.
• Meta Ad preferences — visit your Facebook or Instagram ad-preferences screen to review and adjust the categories Meta uses for ad targeting.
• Opt-out industries — for broader opt-outs, the Digital Advertising Alliance offers a tool at optout.aboutads.info.

4. How We Use Information

We use the information we collect for the following purposes:

• To respond to service requests. When you submit a request, we read it, contact you, schedule a site visit if appropriate, and prepare an estimate. Submission notifications are sent to our operations inbox through Polsia's authenticated email proxy service.
• To schedule and perform work. Site-visit dates, service addresses, and project descriptions are stored in our internal job-management system (so the crew that arrives at your home knows what to do).
• To send notifications. We send emails for: confirmation of your submission, scheduling changes, completion of work, follow-up quality checks, and (only if you opt in) maintenance-program reminders. We do not send marketing blasts to people who have not requested service.
• To improve the site. Aggregate analytics tell us which pages are useful and where people get confused. We use that to prioritize fixes and content. We never sell or share identifiable information.
• To comply with legal obligations. Records of service requests and completed work are retained as required by Florida contractor licensing and tax law.

5. Data Sharing

LockeOS does not sell, rent, or trade your personal information to third parties for their own marketing. We share information only as follows:

• Service providers. We use Polsia (polsia.com) to host this website, send transactional emails, and operate analytics. Those providers receive only the data needed to perform the service and are bound by their own terms and privacy commitments.
• Permitting and inspections. When installation work requires a permit or interconnection with FPL, we submit the minimum information required by the relevant authority — typically project address, system size, and equipment list. We do not sell customer lists.
• Legal compliance. If compelled by valid legal process (subpoena, court order), we may disclose information as required. We will narrow disclosure to the minimum required and notify you where lawful.

6. Data Retention & Security

Service-request records are retained for the period required to complete the work, plus any longer period required by Florida contractor licensing or tax law (typically 5–7 years). Analytics records are retained for 12 months; the daily salt used to anonymize IP hashes means two visitors sharing the same IP cannot be correlated beyond a single day.

We protect information with industry-standard measures: TLS for data in transit, restricted database access, and access logging. No system is perfectly secure, but we work to keep risk proportional to the sensitivity of the data.

7. Your Rights & Contact

You have the right to: access the personal information we hold about you; correct anything inaccurate; request deletion of your information (subject to the retention requirements noted above); and opt out of any future communications at any time. To exercise any of these rights, contact us:

We respond to verified privacy requests within 30 days, typically sooner. There is no fee for a single access or deletion request per year.

8. Children's Privacy

LockeOS is a business-to-consumer service intended for adults arranging service for properties they own or manage. We do not knowingly collect information from children under 13. If you believe a child has submitted information through our forms, contact us and we will delete it.

9. Changes to This Policy

If we make material changes to this policy, we will post the updated version here with a new “Effective” date at the top. For significant changes (such as new categories of data collection), we will notify active customers by email where possible.
